BookkeeperCollect vs Hubdoc

Hubdoc and BookkeeperCollect both sit in the client-document mess bookkeepers live in every month. They do different jobs.

Hubdoc is built to capture bills and receipts, extract key fields, and publish that data into accounting software. BookkeeperCollect is built to request the missing documents in the first place — checklists, a branded no-login portal, and automatic reminders — so you are not chasing people in email and texts until close.

If your bottleneck is "I have the PDF; I need the data in Xero or QuickBooks," Hubdoc is the tool. If your bottleneck is "I still don't have the PDF," that is a request problem, not a capture problem.

Who each is for

Hubdoc fits bookkeepers and small firms already deep in Xero (Hubdoc has been owned by Xero since a 2018 acquisition) or QuickBooks Online who want clients — or themselves — to drop bills and receipts into a capture pipeline. Photo on mobile, email-in, desktop upload, scanner: get the document in, pull supplier / amount / invoice number / due date, sync to the books. Collaborators can work inside the Hubdoc account. Pricing on the standalone Hubdoc page is listed at $12 USD/mo after a 30-day trial, with no card required; on many connected Xero plans Hubdoc is often included, so check what your client's subscription already covers.

BookkeeperCollect fits the solo or small-firm bookkeeper whose recurring pain is incomplete packs: missing statements, unsigned forms, that one receipt the client "will send Monday." You build a request from a template, define the slots you need filled, send clients a branded portal link (no login for them), and let automatic reminders do the chase. Starter is $29/mo, Pro $39/mo, with a 14-day trial and no card. Custom logo and colors are available on Pro and during the active trial; Starter uses BookkeeperCollect styling. It does not OCR documents, run bank feeds, capture expenses, manage your practice, do the accounting, e-sign, invoice, chat, or ship a mobile app. Narrow on purpose.

Requesting docs vs OCR capture

Hubdoc is strong once something exists to capture. You (or the client) get a bill or receipt into Hubdoc; OCR pulls the useful fields; the document and data can publish into Xero, QuickBooks Online, or Bill.com. That helps with data entry — especially if clients already habitually photo or forward invoices.

BookkeeperCollect never reads the PDF. It answers a prior question: which documents are still missing for this close, and how do you get the client to send them without another "just checking in" email? A request checklist makes the list explicit. Slots make "done" unambiguous. That is closer to getting clients to send documents on time than to extracting line items.

Portal vs inbox / upload

Hubdoc's capture paths are solid: mobile app, email-in, upload, scanner. Clients participate by sending into Hubdoc's capture channels or working as collaborators in the account. That is fine when the relationship is "drop receipts here."

BookkeeperCollect's portal is a different shape: you send a branded link, the client sees what you still need, and they upload into the right slots — no login. You are not teaching them another inbox or another app account. For bookkeepers tired of attachments scattered across email threads, that clarity matters more than another capture channel.

Reminders vs chasing elsewhere

Hubdoc does not appear to offer BookkeeperCollect-style automatic document-request chase reminders. If clients go quiet, the follow-up still lives in your email, SMS, or practice habits. BookkeeperCollect's reminders exist so stopping the chase for receipts is partly automated after you define the request. Different layer of the workflow.

Note on auto-fetch from suppliers: Xero retired Hubdoc's standard fetch connections in April 2022. That announcement distinguished standard fetch from direct connections, so check support for your specific supplier before relying on automatic imports.

When to pick Hubdoc instead of BookkeeperCollect

Be honest with yourself:

  • Your clients already send bills and receipts; the pain is data entry and publishing into Xero or QBO.
  • You want OCR of supplier, amounts, invoice numbers, and due dates.
  • You want a mobile app for photo capture and email-in as first-class paths.
  • Hubdoc is already included on the client's Xero plan (or $12/mo standalone is the budget you want for capture).
  • You need publish paths to Xero, QuickBooks Online, or Bill.com.
  • You are fine inviting accountants/clients into the Hubdoc account model rather than a no-login request portal.

In those cases Hubdoc is the better tool. BookkeeperCollect will not replace it — and does not try to.

When BookkeeperCollect is the better fit

Choose BookkeeperCollect when:

  • Close is blocked by missing statements, receipts, and forms — not by unread PDFs sitting in a folder.
  • You want a checklist of slots the client can see and complete without logging into your stack.
  • You want automatic reminders so chase is not a second job.
  • You prefer a branded portal experience over teaching another capture inbox.
  • You do not need OCR, bank feeds, expense capture, practice management, e-sign, invoicing, chat, mobile app, AI document reading, API/Zapier, custom-domain white-label, or SOC2/HIPAA claims from this tool.
  • You are fine paying $29–$39/mo for request workflow alone (with a card-free 14-day trial to test the fit).
  • You have Spanish-speaking clients: you pick English or Spanish per request, and that client's portal, request email, reminders and completion receipt are all in that language (your own dashboard language is a separate setting).

You can still use something like Hubdoc (or Xero's own capture paths) for bills that do arrive — and use BookkeeperCollect for the stubborn gaps. They are complementary more often than they are rivals.

FAQ

Is BookkeeperCollect a Hubdoc alternative?
Only for the "request missing documents" job. It is not an alternative for OCR, mobile capture, or publishing into Xero/QBO/Bill.com. If that is what you meant by "Hubdoc alternative," Hubdoc (or staying on your current capture tool) is still the answer.

Can BookkeeperCollect extract invoice data or sync to Xero?
No. No OCR, no accounting publish, no integrations. Upload lands in your request/portal workflow for you to handle in your books the way you already do.

Does Hubdoc have a client checklist and automatic reminders like BookkeeperCollect?
From public Hubdoc materials, it does not appear to offer BC-style branded no-login portals, document-request checklists, or automatic chase reminders. Accountant access is typically invite-into-Hubdoc. If Hubdoc has added something similar, verify on their site — this comparison only claims what is clearly public.

Why is BookkeeperCollect more expensive than Hubdoc's $12/mo?
Different product. Hubdoc's standalone price is for capture/extract/publish (and is often bundled with Xero). BookkeeperCollect's $29/$39 is for request checklists, portal, and reminders — and nothing else on that list. Compare on the job you need done, not on the monthly number alone.

Do I need both?
Sometimes. Capture tools do not invent documents clients never send. Request tools do not OCR what arrives. If both pains are real in your practice, using both is a reasonable setup — not a failure of either product.

Soft next step

If your monthly story is still "waiting on the client," try the request side first. Build one template, send one portal link, let reminders run. Sign up for BookkeeperCollect — 14 days, no card — or start from the home page if you want the short version of what slots and portals look like.

Hubdoc remains a solid choice when the document is already in hand and you need it in the books. BookkeeperCollect is for when it is not.

Stop chasing clients for documents

Give clients a no-login upload checklist and schedule reminders for missing documents. Starter $29/mo, Pro $39/mo. Try it for 14 days, no card required.
